I have medisoft v. 12. I am able to make patients and cases inactive, but cannot delete them as I could with older version. Any tips?

  2. admin Says:

In about version 10 of Medisoft, they started getting “tough” about “Referential data integrity”. What this means is Medisoft doesn’t want you to be able to delete items that might “reference” data in another part of the program. For example, if you deleted a “case” in Medisoft, there are transactions that reference that case and if the case were deleted, and transactions remained, you would have an issue with “referential data integrity” because transactions existed, without a case to be associated with.

Basically, if you want to delete something, you usually have to delete (or in spy movies, “cover your tracks”) anything related to it. For example, to delete a patient you have to also delete any appointments first, also transactions, then cases. To delete a case, you also have to delete all the transactions in that case and all claims. It gets complicated. You can “archive” closed cases so they don’t take up space in your database also.

What you might also want to consider is “hiding” cases or patients. Version 12 included a new feature to “hide inactives” so that if a case; patient; procedure or diagnosis code is marked “inactive” they don’t show up in the lists. To enable this, go to program options, and check the box there for “Hide inactive/Closed items”. Then mark what you need inactive, then you can always “right click” your mouse in a list window and choose to “SHOW INACTIVE RECORDS”- these records will then be shown with a RED X next to them in the list.

    Does that help?

  3. Ana Says:

I am having an issue where my NDC# i put in Misc. tab Local Use B is not transferring electronically properly. The NDC# is 11 digits (57894003001) and it is transferring electronicaly as 5789403001 with a space at the end. One of my “0″ is missing and its making a space at the end of the number. Any thoughts? When I print the claim on paper it print out properly it just get messed up with electronic transfer.

  4. admin Says:

ana, what version of medisoft and what version of electronic claims are you using?

  5. Ana Says:

I have V.12 and I have the AVAP Ansi for Medisoft Module

  6. admin Says:

what version of avap? you can tell when you go into the module, at the top of that screen, it will tell you the version.

  7. admin Says:

are you on version 12? or version 12 sp1 or sp2?

  8. Ana Says:

    AVAP X12 Verison 12.03.3 09/04/2007 Medisoft is V.12 SP2

  9. admin Says:

I think first off you should try upgrading to version 12.05 of the AVAP module to see if that will fix the problem. Do you know how to do this?

  10. Ana Says:

I downloaded the latest update and resent a claim. It still sends it out wrong. This is the error I get from Availity. Error Message: Element LIN03 has a data type of ‘Alphanumeric’ AN. Trailing spaces are not allowed. Segment LIN is defined in the guideline at position 494. Invalid data: 5789403001 Loop: 2410 Segment ID: LIN Element #: 03

  11. Ana Says:

    The update I installed was ANSI X12-Version 12.06 02/27/2008

  12. admin Says:

What do you have in the procedure code, National Drug code field?

  13. admin Says:

I’m going to assume it is 5789403001 if it is, try adding a 0 (that a zero)in front of the 5 and try submitting again and see what happens.

  14. admin Says:

all drug codes are supposed to be 11 digits long… so like i mentioned in the previous post, try adding a 0 in front of the ndc number you have, and if that doesn’t work, try it at the end of the number (57894030010) and see if that works.

This is a very good thread that I have used the advices put in the conversation to implement a new state of art and affordable practice management software.
1- Data Integrity, It is a good industry practice to have clean data. Unless the data is obsolete, it should never be deleted. It can be archived thought.
2- Data validation, such as drug codes (11 digits), NPI (10 digits), shall be verified and validated by the software.
3- HIPAA Transactions are currently implemented in X12. EzMedPro upcoming version contains 837P implemented along with a portal to correct and resubmit the failed transactions.
